Terms & Conditions

These terms cover website use, charter requests, passenger conduct, safety requirements, cancellations, refunds, and health-related operating rules.

1. Terms of Service

By using this website or requesting services, you confirm that you accept these Terms & Conditions.

In addition, you agree to follow all applicable laws, regulations, carrier requirements, and local operating rules.

If you do not accept these terms, please do not use this website or request services through it.

Copyright, trademark, and other applicable intellectual-property laws protect the materials on this website.

2. Website Use License

VIP Charter Service grants you limited permission to view website materials for personal and non-commercial use.

However, this permission does not transfer ownership or intellectual-property rights.

  • Do not modify or copy website materials for unauthorized use.
  • Do not use website materials for unauthorized commercial or public display.
  • Do not decompile or reverse engineer software contained on this website.
  • Do not remove copyright or proprietary notices from website materials.
  • Do not transfer materials to another person or mirror them on another server.

VIP Charter Service may end this permission if you violate these restrictions.

After termination, you must destroy any downloaded copies that remain in your possession.

3. Disclaimer

VIP Charter Service provides website materials on an “as is” basis.

Therefore, we do not guarantee that every website statement, illustration, price reference, or linked resource remains complete or current.

Moreover, charter availability, aircraft, routing, airport access, permissions, and pricing can change without notice.

Any confirmed service depends on the applicable quotation, invoice, charter agreement, and direct carrier requirements.

4. Limitation of Liability

Where applicable law permits, VIP Charter Service limits liability for losses connected with website use.

This includes indirect losses, lost data, lost profit, and business interruption.

However, some jurisdictions restrict exclusions or limitations of liability.

Therefore, those limitations may not apply in every jurisdiction or situation.

5. Revisions and Errors

Website materials may contain technical, typographical, photographic, pricing, or other errors.

In addition, routes, aircraft, airports, regulations, and operating conditions can change.

VIP Charter Service may update website materials at any time without prior notice.

However, we do not promise continuous or immediate updates to every page.

7. Changes to These Terms

VIP Charter Service may revise these Terms & Conditions when operational, legal, or service requirements change.

Therefore, the version published on this page applies when you use the website.

For a confirmed charter, the signed agreement, accepted quotation, and invoice may contain additional conditions.

8. Governing Law

Applicable law governs claims relating to this website and the services described here.

In addition, a specific charter agreement or booking document may state further governing-law provisions.

Important: The historical source did not identify a specific state or jurisdiction. Therefore, this wording remains intentionally general.

9. Invoice Validity

An issued invoice normally remains valid for 24 hours from its e-mail issue date and time.

However, an invoice issued for a weekend period may remain valid for 48 hours.

The invoice states the agreed total price for the confirmed service.

Aircraft availability and market conditions can change during the invoice validity period.

Therefore, availability remains subject to confirmation until you complete payment and booking requirements.

10. Service Arrangements and Operational Changes

Depending on the service, VIP Charter Service may coordinate directly, through independent providers, or through a combination of arrangements.

However, the confirmed quotation identifies the service that the client has requested.

Aircraft or Operator Substitution

We may substitute an aircraft or operator only when a technical, operational, or availability problem makes that necessary.

In that case, we will seek a suitable replacement that can perform the confirmed mission.

Weather, ATC, Slots, Permits and Force Majeure

Weather, ATC restrictions, airport closures, slot limits, permits, strikes, conflict, government measures, or technical events can affect operations.

Therefore, departure times, airports, routing, or the service itself may need to change.

Any operational response will follow the confirmed booking conditions and the carrier’s applicable requirements.

11. Passenger Documents, Baggage and Security

Travel Documents and Verification

Passengers must provide valid and accurate passports, visas, entry permits, health documents, and other required travel documents.

Moreover, the captain, pilot, carrier, or authorized service representative may request verification when the service or law requires it.

If any passenger refuses a required document check, we may stop or refuse the service immediately.

Where appropriate, we may also contact the competent authorities.

If that refusal causes service refusal or termination, the passenger receives no refund.

These cooperation rules also apply, where relevant, to yacht charter and car rental services.

Baggage, Dangerous Goods and Weapons

Passengers must declare oversized baggage and special items before departure.

In addition, passengers must follow all carrier and legal rules for baggage, batteries, hazardous materials, and dangerous goods.

Firearms and weapons require prior approval where applicable law and operator rules allow them.

Therefore, the carrier may refuse undeclared, prohibited, unsafe, or non-compliant items.

Aircraft Safety and Security

The charterer and all passengers must cooperate with the carrier’s security and safety procedures.

For example, the carrier may require identity checks, baggage screening, or personal security screening.

Passengers must also follow instructions from the captain, crew, handling staff, and authorized security personnel.

If a passenger refuses a required safety or security procedure, the carrier may refuse carriage.

In that case, the passenger cannot claim a refund for consequences caused by that refusal.

12. Passenger Conduct and Attendance

Alcohol, Drugs and Aggressive Conduct

Passengers must not board while intoxicated, under illegal drug influence, or behaving aggressively.

Moreover, the captain or carrier may deny boarding when conduct creates a safety or security concern.

The crew may also remove a passenger from the aircraft or operating area.

As a result, serious misconduct can cause immediate service cancellation without refund.

Rude, Abusive and Discriminatory Conduct

Passengers must communicate respectfully with captains, crews, handling teams, transfer staff, and other personnel.

We may issue one warning for belligerent, vulgar, threatening, or highly abusive communication.

However, continued abusive conduct may lead to service suspension or termination without refund.

In addition, we do not tolerate discriminatory insults or abuse based on ethnicity, religion, or sexual orientation.

Serious threats, harassment, slanderous conduct, or deliberate disruption may also lead to immediate termination.

No-Show and Late Arrival

A passenger who does not appear for the booked service receives no refund.

We may allow a delay of up to 15 minutes when operations permit.

However, we do not guarantee waiting beyond that period.

If passenger delay causes the loss of an airport or heliport slot, the booking receives no refund.

13. Booking Changes and Special Requirements

Passenger, Route, Date and Time Changes

Any change request depends on the departure date and current availability.

During peak season, we may be unable to accept changes even seven days before departure.

Therefore, a change request does not guarantee a revised booking.

Pets, Special Assistance and Medical Requirements

Please tell us before confirmation about pets, mobility assistance, medical needs, or other special requirements.

We can accept them only when the provider, equipment, route, location, and applicable rules allow them.

Moreover, medical requirements do not create a medical transport service unless we confirm that service separately.

14. Health, COVID-19 and Pandemic Requirements

Passengers must follow health and safety requirements that apply to the requested flight.

These requirements may come from the carrier, captain, airport, heliport, local authority, or national regulator.

For example, an operator may require face masks, health declarations, testing, or supporting health documentation.

Requirements can differ between countries, airports, private heliports, and individual operators.

Therefore, passengers should confirm current requirements before departure.

Operational rule: If the captain, operator, airport, or heliport requires a mask or other health measure, passengers must comply.

The carrier may also refuse carriage when a passenger does not meet an applicable health requirement.

In addition, the captain may refuse carriage when a passenger presents symptoms relevant to current operating procedures.

If non-compliance causes a refusal of carriage, the applicable cancellation conditions will apply.

Finally, VIP Charter Service may amend or cancel a quotation when official health restrictions prevent the planned operation.

15. Privacy and Personal Data

We handle personal data according to applicable privacy requirements and our published privacy policy.

Therefore, please review our Privacy Policy for further information.
